The Donation Box is the heart of your campaign and allows you to collect donations flexibly and customized. In this article we'll show you how to configure every aspect of your Donation Box so it works exactly as you need.
How to Set Up Your Donation Box
Your Donation Box is flexible and you can configure it completely to adapt to your needs. You can customise the types of donations (one-time and/or recurring; or use installment payments), adjust colors, add motivational messages and collect the information you need from your donors.
To access your Donation Box settings, go to your campaign and select Settings → Donation Box.
The settings screen will show you five main tabs where you can shape your donation box: Customise, Data, Payments, Gratitude and Integration.
1. Customise
The Customise tab is where you define the visual appearance of your Donation Box. Here you can change the color of elements, customise the donation button text and add motivational messages at different points in the process.
💡 We recommend carefully reviewing all customization options to ensure your Donation Box fully meets your campaign needs.
In the Customise tab, you can edit the color and various elements of your Donation Box, such as the donation button and the text that appears below it.
In the section "Custom phrase below the donate button" you have the option to choose which of the following steps of the donation process you want your custom text to appear on:
Show phrase on amount selection screen
Your custom text will appear in the first step, when the donor chooses the amount they wish to donate.
Show phrase on data entry screen
Your custom message will be displayed when the donor enters their personal information.
Show phrase on payment screen
Your text will appear during the final payment processing step.
You also have the option to customise the text in the payment section. This allows you to change the phrase "You are about to donate (amount)" to other text you prefer.
In this example, the text "You are about to donate" has been changed to "You are contributing". These small changes can make the donation process feel more personal and close.
2. Data
In the Data tab you define what information you will collect from your donors. Here you can choose the type of form, which data fields to request, configure the emails that will be sent and activate additional options such as event tracking or volunteering.
💡 We recommend carefully reading all customization options to ensure your Donation Box and data management fully adapts to your organization's needs.
2.1. Form Purpose - Receive one-time and/or recurring donations
In the Data tab you will find the Payment section, where you can select the purpose for which you want to use your form. You have three main options:
Receive one-time donations
Receive recurring donations
Receive one-time and recurring donations
2.2. Registration Type (Simple or Extended)
The registration type determines what information is requested from your donors. You can choose between a simple form that only collects basic data, or an extended registration that includes additional information.
By default, simple data registration is displayed. However, if you select the option "Extended registration will be shown", both simple and extended data will be displayed.
2.2.1. Simple data
The simple registration form collects only basic information from the donor. This is the default form in all Donation Boxes and is what you'll use if you don't change to extended registration. The fields requested are:
First Name
Last Name
Donor Email
2.2.2. Extended Registration
When you select extended registration, all simple registration data is collected plus additional information that is useful for your organization. The additional fields requested are:
Address
ID Number
Phone Number
👉 The phone number will be optional unless you specifically mark it as required in the settings.
2.2.3. How the Extended Registration form is displayed
The extended registration is presented differently depending on the type of donor. Below you will see how it appears for individuals and businesses:
(a) For Individuals:
(b) For businesses or companies:
2.3. Cases Where Extended Registration is Required
Although you normally have the choice between simple and extended registration, there are specific situations where the system automatically requires extended registration. This happens to comply with legal or tax regulations applicable to your campaign.
Extended registration becomes mandatory in the following cases:
Campaigns that issue Donation Certificates
If your campaign is configured to issue donation certificates, you need to collect the full name and address of the donor. This information is required so the donor can claim the tax deduction for their contribution.
When a donor requests a tax certificate, the system will automatically require all extended registration data.
👉 If you configure donation certificates in your campaign, the certificate will be automatically issued to any donor who meets these requirements:
With residency in the country of certificate issuance (defined in General Data)
With valid Identification Document
Donations over €100 or recurring donations
If the donor makes a donation over 100 euros or subscribes to a recurring (periodic) donation, the system will automatically expand the extended registration. This is a compliance measure for campaigns based in Spain.
2.4. Identification Fields
In the Identification Fields section, you have complete control over what information you want to request from your donors. Here you can mark which fields should be required and which optional, allowing you to customise the form according to your specific needs.
2.5. Email Sending (Related to Messaging Service)
In this section you configure what automatic notifications your donors receive by email, and whether you want to receive a copy of those communications.
👉 We recommend visiting this article to customise the content of the emails and the address from which they are sent.
2.5.1. Receive a copy of donor emails
Enable this option if you want to receive a copy of each email sent to your donors, useful for monitoring communication. When you check it, a field will open to indicate the address where you want to receive the copies.
2.5.2. Automatic confirmation notifications
By default, an automatic confirmation email is sent to donors in each of these cases:
When making a one-time donation
When a recurring payment is processed
When a payment is processed via CRM transactions
When a SEPA direct debit process begins
If you prefer not to notify your donors in any of these cases, you can disable each sending independently by checking the corresponding option ("Skip sending payment confirmation email", "...for recurring payments", "...in CRM transactions", "...for SEPA process started").
2.5.3. Abandoned cart notification
Enable this option to alert donors who started a donation process but didn't complete it. More information here.
2.6. Other Options: Event Tracking and Volunteering Options
In the "Other Options" section you can enable additional features that enrich the donation experience. These options include event tracking and volunteering options (to identify donors interested in collaborating in other ways).
2.6.1. Event tracking
When you enable "Event tracking", your Donation Box will include an option that allows donors to indicate whether their contribution comes from an event or charitable initiative.
The option that will appear in the Donation Box will be: "This amount comes from an event or charitable initiative"
2.6.2. Volunteering Options
When you enable volunteering options, your form will include questions to identify donors who may be interested in collaborating with your organization in other ways. This helps you expand your pool of potential volunteers.
The options that will be displayed to donors will be:
I'm interested in volunteering for this cause
I'm already a volunteer with this organization
I'm not interested in volunteering
2.6.3. Custom Fields
In the Data tab, at the end, you have the option to add Custom Fields. This feature allows you to create specific fields for your campaign beyond the standard fields that StockCrowd offers, allowing you to collect additional information that is relevant to your organization.
For more information on how to create and use custom fields, see this detailed article.
3. Payments
In the Payments tab you define how your donors can contribute to your campaign: you can offer one-time and recurring donations with different frequencies, or allow the donor to split their contribution into several payments. These two ways of configuring payment are called payment modes, and you can only have one of the two active in each Donation Box: Frequencies or Installment Payment.
❗️ Only for campaigns created before January 30, 2026: This section will NOT be visible if you've configured your campaign only to collect signatures (registrations). If you want to configure your campaign to receive donations, you must go to the "Data" tab and select one of the available payment options.
❗️Remember that your Donation Box will only process payments after your campaign is active and published.
3.1. Mode: Frequencies
The Frequencies mode allows you to offer one-time donations, recurring donations, or both at the same time, within the same Donation Box.
3.1.1. Activate the frequencies you want to offer
In the "Active frequencies" section you can independently activate or deactivate five options: One-time, Monthly, Quarterly, Semi-annual (new frequency) and Annual. You can combine them as you prefer. For example, activate only One-time and Annual, or activate all five. Each frequency you deactivate will no longer be shown in the Donation Box.
Additionally, you can mark one of the active frequencies as the one that will be selected by default the first time the donor opens the form. The donor can change it at any time, but this will be the option they see checked when entering.
3.1.2. Configure the amounts for each frequency
For each active frequency, you can configure two things:
Free amount: if you enable the "Free selection" option, the donor can enter any amount they want to donate, in addition to the amounts you define. You can set a minimum amount and a maximum amount for this option. For example, if you set a minimum of €10 and no maximum, the donor can donate any amount starting from €10, with no upper limit.
Fixed amounts: you can add as many fixed amounts as you want for each frequency. There is no maximum number. For each amount, you can mark one as the default amount, which will be pre-selected when the form opens.
3.1.3. Payment configurations (only in Frequencies)
Within the Frequencies mode, you can create multiple payment configurations with different amounts for the same Donation Box, and generate tokens that can then be added to the URL to direct you to different audiences in your communications, for example. To learn how to create these configurations and how to generate the URL for each one, see the article How to create dynamic forms for your campaign.
❗️ This feature of multiple configurations and tokens is only available in Frequencies mode. Installment Payment mode does not allow you to create additional configurations: you can only have one installment payment configuration per Donation Box.
3.2. Mode: Installment Payment
Installment Payment mode allows you to offer your donors the option to split their donation amount into several payments, spread over months or years.
This mode is mutually exclusive with the Frequencies mode: you can only have one of the two active at the same time in the same Donation Box.
❗️ Availability by payment gateway: Installment Payment is only available if your campaign uses a payment gateway that accepts recurring payments. If your payment gateway doesn't support recurring payments, you won't be able to enable this mode.
❗️ Not available in P2P campaigns: Installment Payment is not available in P2P (Peer-to-Peer) type campaigns.
💡 Keep in mind the minimum amounts of your payment gateway: when dividing an amount into several installments, check that the result of each individual payment meets the minimum amount required by your payment gateway. If you configure an amount that's too low spread across many installments, each payment could be rejected by the gateway.
3.2.1. Configure the amounts
Just like in Frequencies mode, you can enable the free amount option (with optional minimum and maximum), and add as many fixed amounts as you want, with no limit, marking one of them as the default amount.
3.2.2. Configure installment periods
In addition to the amounts, in this mode you define the periods in which each amount can be split: in months or years. You can add as many periods as you need. Periods only accept whole numbers (for example, 2 or 6 months; decimals like 1.5 months cannot be used).
For example: if you configure an amount of €10 with an installment period of 2 months, the donor will pay €5 in the first month and €5 in the second month, until completing the total amount of €10.
3.3. Edit Details: Add a description and icon to each donation amount
The Edit Details option is available in both Frequencies and Installment Payment modes, and works the same in both.
To make your donation options more persuasive and transparent, you can include a short description for each amount that explains what specific achievements or impacts that donation will have. Additionally, you can add a visual icon (we recommend using 40x40 pixel images) that helps donors quickly understand the impact.
💡 Important: for the description and icon to appear right when the form opens, you need to have an amount marked as "default" in that frequency. If no amount is pre-selected, the description and icon won't appear until the donor manually selects an amount.
To add a description, type a brief text in the "Description" section. Once you've completed it, you can upload an icon by clicking the folder icon. This will open your file manager so you can select an image from your computer.
If your campaign is available in multiple languages, you'll need to provide translations for the descriptions. You can do this by clicking the flag symbol. For more information on how to set up a multi-language campaign, see this article.
4. Gratitude
The Gratitude tab is where you configure the message your donors will see after completing their donation. This is an important moment to thank them, celebrate their contribution and, if you wish, direct them to other actions or resources.
You can customise the image, title and subtitle of a thank you popup that will appear immediately after each donation. The subtitle is fully editable and you have access to a rich text editor to apply formatting, add links and more.
Additionally, you can configure a CTA (Call to Action) that will redirect your donors to a specific URL a few seconds after they see the gratitude message. This is useful for directing your donors to a follow-up page, a volunteering form or any other resource you want them to visit.
You can preview how your gratitude message will look using the gratitude preview, which shows you exactly how your donors will see it:
❗️ If you add a CTA to redirect your donors, remember to include "https://" at the beginning of the URL to ensure the redirect works correctly.
5. Integration
The Integration tab allows you to embed your Donation Box directly on your own website in several different ways, depending on how you want it to integrate visually.
You have three main options for embedding your Donation Box:
Modal style: The Donation Box appears in a floating window over your page content
Embedded style: The Donation Box integrates directly as part of your website content
Full page: The Donation Box takes up the entire webpage (via HTML embedding)
⭐️ For detailed instructions on how to embed your campaign on your website, see this article.
❓Frequently Asked Questions
Can I change my Donation Box settings after publishing my campaign?
Yes, you can modify your Donation Box settings at any time, even after your campaign is live. All changes will apply immediately to future donations. However, it's important to consider how changes may affect existing donors' experience and campaign consistency.
What's the difference between simple and extended registration?
Simple registration collects only the donor's name, last name and email. Extended registration includes, in addition, address, ID number and phone number. Extended registration is especially useful if you need to issue donation certificates or if you expect to receive donations over €100 or recurring donations, as these cases require more complete information to comply with legal regulations.
In which cases is the extended registration shown automatically?
The system activates it automatically in two cases: (1) when your campaign issues donation certificates and the donor requests one, since their full name and address are required for the tax deduction; and (2) when the donor makes a contribution over €100 or subscribes to a recurring donation (this second case applies only to campaigns based in Spain). In both scenarios, it is not possible to disable the display of the extended registration.
Is it required to create a CTA (Call to Action) in the gratitude message?
It's not required to create a CTA in the gratitude message. The gratitude message will display fine even without a CTA. However, adding a CTA is an excellent opportunity to direct your donors to additional actions, such as sharing your campaign on social media, completing a volunteering form, or visiting your main website.
Can I activate Frequencies and Installment Payment at the same time?
No, both payment modes are mutually exclusive: you can only have one of the two active in each Donation Box.
How many amounts can I add to a frequency or installment payment?
There is no limit: you can add as many fixed amounts as you need, both in Frequencies mode and in Installment Payment mode.
How does Installment Payment work?
Installment Payment allows the donor to split their donation amount into several payments, spread over the number of months or years you define. For example, an amount of €10 split into 2 months will be charged in two payments of €5 each.
How do I know if my payment gateway supports Installment Payment?
Installment Payment is only available if your campaign uses a payment gateway that accepts recurring payments. If your payment gateway doesn't support recurring payments, the Installment Payment option won't work correctly.
Why don't I see the Installment Payment option in my P2P campaign?
Installment Payment is not available in P2P (Peer-to-Peer) type campaigns. In this type of campaign you can only use Frequencies mode.
Is there a minimum amount for Installment Payment?
Yes, indirectly: when dividing an amount into several installments, each individual payment must meet the minimum amount required by your payment gateway. If you configure an amount that's too low spread across many installments, each payment could be rejected by the gateway. There is no fixed minimum defined by StockCrowd; it depends on your gateway.
Can I have multiple configurations with different amounts for the same Donation Box?
Yes, but only if you use Frequencies mode. You can create multiple payment configurations, each with its own token to share in different URLs according to the audience you're targeting. See the article How to create dynamic forms for your campaign for the step-by-step. This option is not available in Installment Payment mode, where you can only have one configuration.
