Add Offline Contributions to your Campaigns

In this article we explain how to add to your campaigns those contributions not received online through the donations' form.

What is an Offline Contribution?

It is a donation that has not been made online through your donation form.

Example:

A donation received in person;

A donation was received through another fundraising platform.

Which plans include the functionality to add an offline contribution?

Such functionality is available only for the Premium Plan.

How can I manage Offline Contributions?

Once received, you can manually add them to your Campaign so that they will sum to the goal amount and collect all the donors' information in one place.

Add an offline contribution one at a time.

If you need to add one or a few Offline Contributions, go to Campaign > Management > Contributions > Options, and click on New contribution offline.

and proceed in the following ways depending on the type of Campaign:

  • Add an Offline Contribution to a donation form or landing page

Once you click on New Contribution Offline and view the donation form:

1. Select the amount of the donation and click Donate Now;

2. Fill in the donor's data and click Continue:

In case the amount is higher than 100, or a receipt is requested for tax purpose:

the form will display the extended registration.

Once the process is completed, your Offline Contribution will be displayed in Contributions:

  • Add an Offline contribution to an e-Commerce

Once you click on New Contribution Offline and view the donation form:

1. Click on Add Reward:

2. Select the reward, and the quantity and click on Accept:

3. Click on Continue:

4. Fill in the donor's data and click on Continue:

📌 In case the Amount to donate is higher than 100,

or a receipt is requested for tax purpose:

the form will display the extended registration.

❗️❗️If the products have associated shipping costs and we do not want to include them in the offline donation, we must check the box Skip shipping costs for this offline contribution.

Once the process is completed, your Offline Contribution will be displayed in Contributions:

  • Add an Offline Contribution to a Peer-to-Peer campaign

Once you click on New Contribution Offline and view the donation form:

1. Select the amount of the donation and click Donate Now;

2. Fill in the donor's data and click Continue:

📌 In case the amount is higher than 100, or a receipt is requested for tax purpose:

the form will display the extended registration.

📌 In case the offline contribution is destined to a Fundraising Page, you must select the challenge in the dropdown Associate to p2p Campaign:

Once the process is completed, your Offline Contribution will be displayed in Contributions:

Add Offline Contributions in bulk

If you want to add a large number of Offline Contributions, you can do so by filling in an Excel template with the donation data, so that you do not have to enter them one by one and add them in bulk.

❗️❗️ This functionality is not available for e-Commerce and Peer-to-Peer campaigns.

  • Download, fill in and import the Donation Import Template

To Download, fill in and import the Donation Import Template:

1. Go to Campaign > Management > Contributions > Options, click on Import Donations (XLXS):

2. Click on Download donation import template:

and download the template to your computer, by default in the download folder.

3. Open the template with Excel and enter the Offline Contributions data:

You will have to click on the drop-down menus if available, example:

or, if this is not the case, enter a value manually:

The template has quite a few columns to fill in, but only the following are mandatory:

  • Person

  • Type and number of document

  • First name

  • Last name

  • Email

  • Amount

  • Generate 182: select if you want to issue the certificate and have it included in the mod. 182.

  • Navision: select if you want to include the contribution in Navision.

  • Payment Date

❗️❗️Should you decide to copy the data from another file and paste it into the Donation Import Template, remember that you should not copy and paste the format of the source cell, but only the content.

4. Save the changes on the Donation Import Template and click on Browse:

5. Select the Donation Import Template you just edited on your computer:

6. Click on Import:

Once you click on Import, the system will notify you that the contributions are in a processing queue:

  • Check that the template has been imported correctly

To check if the Donation Import Template has been correctly imported, click on Donation pending of import:

In case Offline Contributions are still in the process of importing, the system will inform you of how many and you will be able to update the results by clicking on Update results:

It is possible that sometimes the Donation import template has not been properly filled in. In this case the system will inform you of the entries that need to be corrected.

Example:

In this case the system has detected two types of errors:

  1. Email is required: this error is due to an incorrect compilation of the template and we will correct it by clicking on Options > Edit data:

by entering the missing data, the email address.

2. The campaign does not have certificate generation enabled: this error is due to the fact that the Campaign's donation certificates are not configured and we will proceed to fix it by configuring them as explained in this article.

If you want, you can delete the records with errors by clicking on Delete all records with errors:
